Terms and Conditions

Welcome to The Bicentennial Inn. These Terms and Conditions ("Terms") govern your reservation, stay, and use of our facilities. By making a reservation or checking in, you acknowledge that you have read, understood, and agree to be bound by these Terms on behalf of yourself and all guests in your party. We reserve the right to update these Terms at any time; the most current version will be posted on our website and at the front desk. If you do not agree with these Terms, please do not make a reservation or stay with us.
1. Reservations and Payments
Reservations are subject to availability and our rates, which may vary based on demand, seasonality, or promotions. All reservations require a valid credit/debit card or an established direct bill account for guarantee. A deposit may be required at the time of booking, and full payment is due at check-in. We accept major credit cards and debit cards; cash payments are not accepted. Cancellation policies vary by reservation type but all reservations canceled withing 48 hours of reservation date are subject to payment of full reservation. Individual rate rules, tax information, applicable charges, and cancellation policies are shown in the “Review Reservation Details” and “Summary of Charges” sections on our booking platform. We reserve the right to cancel or modify reservations if they are deemed fraudulent, speculative, or in violation of these Terms. You agree to make only legitimate reservations in good faith for use by you and your invited guests, and not for resale, assignment, or other unauthorized purposes. Check-in time is 3:00 PM, and check-out time is 11:00 AM. Early check-in or late check-out is subject to availability and may incur additional fees. Upon check-in, all guests must present valid government-issued photo identification. Guests under 21 must be accompanied by an adult.
2. Guest Responsibilities and Conduct
All guests are expected to conduct themselves in an orderly and acceptable manner to ensure the comfort and safety of others. You are responsible for the behavior of all members of your party. We reserve the right to terminate your stay immediately, without refund, if your conduct (or that of your party) causes distress, danger, annoyance to other guests or staff, or damage to property, in our sole discretion or that of hotel management.
- Minor Children: Minor children (under 18) are the sole responsibility of the adult with whom they are registered. Parents or guardians must supervise children at all times. The Inn assumes no liability for the safety or actions of minors.
- Quiet Hours: For the comfort of all guests, please observe quiet time from 11:00 PM to 6:00 AM daily. Excessive noise, including from parties or gatherings, may result in warnings followed by eviction without refund.
- Authorized Charges: You agree that any guests in your room are authorized by you to charge incidentals to the room, unless you notify the front desk in writing otherwise.
3. Housekeeping and Room Access
For your comfort and to maintain our standards of cleanliness, housekeeping staff will service rooms every 3 days during your stay. Additional servicing may be requested at your discretion, subject to availability and potential fees. To ensure safety and hygiene, housekeeping must be permitted to enter your room daily for brief inspections, towel/linen exchanges, or emergency needs. If you prefer not to be disturbed during specific times, please notify the front desk in advance. Refusal of daily access may result in additional charges for deep cleaning upon departure.
4. Prohibited Activities and Fees
- Pets: Pets are not permitted, with the exception of trained service animals as defined by applicable law (advance notice required). If animals (other than service animals) are found in the room, a $200.00 cleaning fee will be assessed to restore the room to its original condition. This fee covers deep cleaning, odor removal, and any necessary repairs.
- Smoking: All rooms and public areas are strictly non-smoking, including the use of electronic cigarettes, vaping devices, or marijuana. If evidence of smoking is found, a $200.00 cleaning and recovery fee will be assessed per day of violation. This charge covers specialized cleaning, air purification, and restoration costs.
- Linens and Amenities: Bathroom linens are counted daily. Shortages or misuse (e.g., using towels for non-bathroom purposes) will result in a $15.00 charge per item. All amenities provided are for use during your stay only; removal from the property is considered theft.
- Damages and Theft: Guests are responsible for any damage to or theft of Bicentennial Inn property, including but not limited to furniture, fixtures, electronics, or decor. Charges will be assessed based on repair or replacement costs (including labor) and billed to the credit/debit card on file or direct bill account. Willful damage may also result in legal action.
5. Liability and Safety
The Bicentennial Inn is not responsible for loss, theft, or damage to personal property, including vehicles parked on premises. Guests assume all risks associated with their stay, including those from weather, facility use, or third-party services. We maintain the property in compliance with applicable health, safety, and fire codes. In case of emergency, follow posted evacuation procedures and contact the front desk immediately. Service animals are welcome, but please notify us at booking for accommodations.
6. Privacy and Data
By providing your contact information, you consent to receiving communications from The Bicentennial Inn, including promotional emails, unless you opt out. We collect and use personal data in accordance with our Privacy Policy, available at our website or front desk. For reservations, we may share necessary information with payment processors or third-party booking platforms.
7. Governing Law and Dispute Resolution
These Terms are governed by the laws of the State of West Virginia, without regard to conflict of laws principles. Any disputes arising from your stay shall be resolved exclusively in the state or federal courts located in Upshur County, West Virginia. You agree to indemnify and hold harmless The Bicentennial Inn, its owners, and staff from any claims, losses, or damages arising from your or your party's actions.
8. Severability and Waiver
If any provision of these Terms is found invalid or unenforceable, the remaining provisions shall remain in full effect. Our failure to enforce any right does not constitute a waiver.
